ECLEVA , a Crayon partner was engaged to support The Baptist Association of NSW and ACT, which oversees more than 350 Baptist churches and runs Creating Safe Spaces (CSS), a mandatory educational program for key church workers.
CSS provides legally required training arising from the Royal Commission into Institutional Responses to Child Sexual Abuse. To meet governance requirements, the training history of thousands of participants must be tracked across hundreds of workshops and online training modules every year.
The Challenge
Tracking required information to be captured from multiple digital systems and paper forms, before being re-entered into Excel spreadsheets. There was no way to automatically identify who needed to be sent reminders to complete or renew training. CSS certificates of completion were very slow to be verified and issued, leaving volunteers unable to support local church community initiatives.
The Solution
ECLEVA delivered a scalable data management solution, developed on Microsoft Dynamics 365, Dynamics Marketing and Power Automate. Crayon provided licensing expertise ensuring the Baptist Association received the full benefit of unique pricing discounts available to charitable institutions and the Not-For-Profit sector.
The Outcome
The Baptist Association of NSW and ACT has saved three hours of administrative work for each CSS event run by the Baptist Association, which produced a significant productivity dividend across the intensive annual program schedule. The complete solution was delivered for lower overall licensing costs and a predictable understanding of forward costs, thanks to Crayon’s expertise.
